What is contract management? Contract management is an ongoing process that begins with the analysis and analysis of the customer`s request and continues until the conclusion of the contract after the performance of all contractual obligations under the SLA. For ERP systems, there is a minimum list of functions without it being possible to qualify them as ERP. This typically involves inventory management, storage, billing, distribution support, finance, accounting, and CRM functions. Of course, thanks to the depth of the processes, these functions must support the company and with a variety of parameters, configuration options to satisfy not only the needs of a customer, but also to get more. This is because the requirements of the company may change during the management of the company. It is necessary to respond to these changes, sometimes it is not enough to change the settings, but to create new features or complete modules. – gentlemen agreement: olyan szóbeli megállapodás vagy ajánlat, mely egyenértékű az írott formában készítettel If the treaty contains the plan data, where do the actual data come from? Once completed, a service worksheet must be completed and the data entered into the ERP. In the end, we had a clear idea of what we did for the client. From there, the role of the system is to automatically issue the invoice and manage possible discrepancies. But that`s not enough to think about it, it has to work within a system. I have to tell you that I have never seen a contract management tool so well developed in a standard ERP system. Some ERP providers may have developed one, but it`s very rare and I think more and more companies would like to use such solutions.
After talking a lot about theory, let`s take a look at the practice. I think that a good contract management module can process in detail the main data of a contract. Of course, we need the name of the company, internal and external contacts, the scope of the agreement (territorial, temporal) and some other information in the contract. But I think the fact is that there will be the articles or options assigned to the treaty in accordance with the SLA. Let`s imagine how many things can be described in a contract from a facility management company or it service provider. We see that a large number of options should be able to be managed by a contract management system. Finally, if the customer remains below the contract, he receives a monthly invoice, but if he uses additional services, he must pay an additional fee. It is also possible that the customer does not use all the available services and the rest may be postponed to the next month. As I write, these are mostly types of ERP systems that have the standard and generic modules, and they are also well developed. But there are some features and functionality that many of them lack.
These are Human Resources (HR), Project Management (PM) and Contract Management (CM). There are more articles on HR and PM, which is why I now write about contract management. More and more companies have to execute their service contracts in the ERP as facility management or IT service provider. These modules are usually HR modules, project management modules and contract management modules. HR and PM have been mentioned quite often lately, but I feel that contract management has been rather marginalized, although there are companies where this is of the utmost importance. . . .
